Privacy Policy
This explains what Salon Hello collects, who else sees it, and how to have it removed. It covers salonhello.com and the AI receptionist we run for salons.

The short version
We collect what you tell your receptionist about your salon, the calls it answers on your behalf, and what we need to bill you. We do not sell any of it. Your receptionist records and transcribes calls, so before you go live you need to tell your callers — the section on call recording below explains why that matters.
Who we are
Salon Hello provides AI phone receptionists to salons across the U.S. We are the controller of the information described here, except where we act on a salon's behalf as described under Calls your receptionist answers. You can reach us at thesalonhello@gmail.com.
What we collect
Your account
Your email address, and either a password or a Google account identifier if you sign in with Google. Passwords are stored only as a one-way hash — we cannot read them, and we never see your Google password.
What you tell your receptionist
Everything you enter when building it: your salon's name, address, opening hours, services and prices, staff names and roles, common questions, policies, the number to transfer callers to, your website, any notes you add, and the calendar email address you want bookings sent to. This is used to answer your callers and for nothing else.
Calls your receptionist answers
Every call is recorded and transcribed, and an automatic summary is produced. We also keep the caller's number, the time and the length of the call. Recordings and transcripts contain whatever the caller says — often their name and phone number, sometimes more.
For these calls the salon is the controller and we act on its instructions. Recordings and transcripts are visible to the salon in its account, and to us only where we need to support or fix the service.
Billing and use
Minutes used, subscription status, and a record of each payment. Card and bank details go directly to PayPal and never reach our servers.
The website itself
Standard server logs, and the cookies and similar storage described below.
Call recording — please read this one
Your receptionist records the people who call your salon. In several U.S. states — California, Florida, Illinois, Massachusetts, Pennsylvania and Washington among them — everyone on a call must be told it is being recorded, and in some cases must agree to it. Rules vary by state and change.
You are responsible for telling your callers. The simplest way is to have your receptionist say so in its greeting; we can help you word it. If you would rather not record calls at all, email us and we will turn recording off for your account.
Who else sees it
We do not sell personal information and we do not share it for anyone else's advertising. We use these providers to run the service, and each only receives what its job needs:
- Retell AI — Runs the receptionist itself. Receives call audio, and stores recordings, transcripts and an automatic summary of each call.
- Twilio — Carries the phone calls to and from the numbers we assign.
- Cal.com — Holds the calendar an appointment is booked into. Receives the caller's name, the time booked and the booking email address.
- PayPal — Takes subscription payments. Card details go straight to PayPal — they never reach us.
- Google — Only if you choose "Continue with Google". We receive your email address and a Google account identifier, never your password.
- Meta (Facebook, Instagram) — Advertising measurement, through the Meta Pixel. Receives page views and whether a signup or subscription happened. It is not sent your name, email or phone number.
- Google Analytics — Counts visits and shows which pages get used, so we can tell what is working. It receives the pages you look at, roughly where you are, and what browser you use - never your name or email address.
- tawk.to — The live chat widget. Receives whatever you type into the chat.
- HostGator — Hosts the website and the database.
We will also disclose information if the law requires it, or to protect the service and the people using it. If the business is ever sold, account information would transfer with it.
Cookies and similar storage
- Staying signed in — one essential cookie that keeps you logged in. Without it the site cannot work.
- Your browser's own storage — remembers which tab you were on and holds a draft receptionist before you create an account.
- Meta Pixel — measures our Facebook and Instagram ads. It records page views and whether you signed up or subscribed. Any ad or tracker blocker stops it, as do the opt-outs in your Facebook or Instagram ad settings.
- Google Analytics — counts visits and which pages are used. Any tracker blocker stops it, and Google's own browser add-on turns it off everywhere.
- Live chat — tawk.to sets its own cookies so a conversation survives a page change.
How long we keep it
Account and salon details are kept while your account is open. Call recordings, transcripts and summaries are kept while your account is open so you can review them, unless you ask us to remove them sooner. Payment records are kept for as long as tax and accounting rules require, which is generally longer than the account itself.
Deleting your information
Email thesalonhello@gmail.com and we will delete your account, the receptionist you built, your call log and your payment records. Call recordings and transcripts are held by Retell AI on our behalf; say so in your email and we will have those removed too. We will confirm once it is done.
Deleting an account is permanent. Recordings and transcripts cannot be recovered afterwards.
Your rights
Wherever you are, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email the address above and we will respond within 30 days.
If you live in California, Colorado, Connecticut, Texas, Virginia or another state with its own privacy law, you also have the right to know what we collect and why, to have it deleted, and not to be treated differently for asking. We do not sell personal information or share it for cross-context behavioural advertising, so there is nothing to opt out of on that front.
If someone called a salon that uses Salon Hello and wants their call removed, contact the salon — it is their record. Email us as well and we will help them reach it.
Security
The site runs over HTTPS, passwords are hashed, and call recordings can only be played by the account that owns them. No service can promise perfect security, but if anything happens that affects you, we will tell you.
Children
Salon Hello is a tool for businesses and is not meant for anyone under 16. We do not knowingly collect their information.
Changes
If we change anything that matters, we will update the date at the top and email account holders.
